Inventory basics

Item types, the add-item wizard, units, variants, serials and batches, and how stock is calculated.

Item types

Every item has a type that decides how it is tracked. Built-in types: Standard Product (quantity), Variant Product (size/colour options), Serialized Product (one serial per unit), Batch / Lot Product (with expiry), Weight-based Product, Service (no stock), Bundle / Kit, Asset and Rental Item. You can build your own under Inventory → Item Types.

Adding an item

Products → Add item opens an eight-step wizard: What, Basic information, Tracking, Attributes, Inventory, Pricing, Suppliers and Review. Only the name is required; the rest has sensible defaults.

Fields and units

  • Custom fields (attributes) come in 19 kinds, including text, number, currency, dropdown, colour, date, weight, measurement, image and references to customers or suppliers.
  • Units and conversions are under Settings → Units. A conversion can apply business-wide or to one item.
  • SKUs are generated from a pattern you set in Settings → Numbering & SKU. Generate barcode on a product page creates an internal EAN-13-style code.

How stock is calculated

Stock is never typed in directly. Every receipt, sale, transfer, count and adjustment writes a row to the movement ledger (Inventory → Movements), and balances are derived from it. On a product page, Available is on hand in sellable locations minus what confirmed orders have reserved. Incoming is on open purchase orders; In transit is between warehouses.

Locations and stock states

Warehouses can be divided into locations — zones, aisles, racks, shelves, bins. Locations of kind quarantine, damaged, inspection or repair are not sellable, so stock there is shown as unavailable.

Adjusting stock

On a product page choose Adjust stock. Pick the type (adjustment, damage, loss, found, consumption or opening) and write a reason — the reason is required and kept in the ledger.

Valuation and policies

In Settings → Numbering & SKU you choose the valuation method (weighted average, FIFO, standard cost or specific identification for serials), FIFO or FEFO batch picking, and whether negative stock is allowed. Warehouses can override the negative-stock rule.
