Purchasing and receiving
Suppliers, purchase orders, goods receipts, supplier bills, payments and returns.
Purchase orders
- Purchasing → Purchase Orders → New. Choose the supplier and warehouse and add lines.
- Approve the order (only roles allowed to approve purchases can), then choose Mark ordered when you send it.
- Ordered quantities appear as Incoming on the product page until they are received.
Receiving goods
Use Receive goods on the order (or Purchasing → Receiving) to record what actually arrived. You can receive part of an order and the rest later; the order shows partially received until everything is in. Stock goes up when the receipt is saved.
Bills and payments
Post the supplier’s bill under Purchasing → Bills and use Record payment when you pay it. The Payables report lists open bills.
Returning goods
Purchasing → Returns sends stock back to a supplier and records it in the ledger.
Automatic reorder drafts
An automation rule with the trigger “stock below minimum” and the action “create reorder” creates a draft purchase order from the item’s preferred supplier. You still review and approve it.
